The fear is that a client auditor will read all 93 documents and find the one weak page. They will not. They do not have time and it is not how auditing works.
They will take a vertical slice: pick two or three welds at random and follow each one all the way down through every section of the package. If those slices are clean, they assume the rest is. If one breaks, they take another. If that one breaks too, the package goes back in its entirety.
An auditor is not testing three welds. They are testing whether your system is capable of producing a correct record — and three is enough to find out.
What a slice looks like
They start at the index, go to the isometric, pick a weld number, and then work down:
- Find that weld on the weld log. Does it exist? Does the joint number match the drawing?
- Read the welder ID. Find that welder's qualification. Does it cover this process and position — and was their continuity current on the date of this weld?
- Read the WPS. Is there a PQR behind it? Does it cover this material and thickness?
- Read both heat numbers. Find both certificates. Right grade?
- Check whether this weld was examined. If so, find the report — and check the technician's certification was valid on the examination date.
- Confirm the system it belongs to was pressure tested, and that the gauge used had a current calibration.
Six steps, five sections, about ten minutes when the package is good. When it is not, the first broken link tells them more than an hour of reading would.
Audit yourself the same way
The preparation that works is not reading your own package front to back. It is running the same slice they will run, on welds you did not choose.
Pick five at random — genuinely at random, not five you remember going smoothly — and trace each one end to end. Time yourself. If a slice takes more than a few minutes, the problem is not that weld; it is that your package cannot be navigated, and the auditor will hit the same wall.
Do this at the halfway point of the job, not the week before handover. Everything you find at the halfway point is fixable. The same finding in the final week is a schedule problem.
When they find something
They will find something. A package with nothing in it is rare enough to be suspicious. What matters is the response.
- Do not explain it away in the room. "That one is fine, the certificate is somewhere" is the worst possible answer, because it tells them your system does not know where things are.
- Write it down as a finding, with an owner and a date. A contractor who logs the finding against themselves looks like a contractor with a working system.
- Fix the class, not the instance. If one heat number has no certificate, check every heat number the same day. Auditors return to what they found, and finding you fixed only the one they caught is worse than the original finding.
What they are actually judging
Underneath the paperwork, an auditor is answering one question: if something goes wrong in this system in five years, will the records support an investigation? Every check is a proxy for that. It is why an open NCR is so much more serious than it looks, and why a missing certificate matters even when the material is obviously fine.
A package that answers that question confidently gets a light audit next time. One that does not gets a heavier one.
