Pipe runs, elbows, tees, reducers, valves and weldolets on a real isometric grid, printed to 11×17 with a bill of materials, cut lengths after nominal fitting take-outs, and red weld and blue heat callouts. Nothing to install and no account. It draws what you tell it — it does not check what you drew against a piping spec.

Getting started
Do I need to install anything?

No. Hot Pass runs in a browser — desktop, tablet, or phone. There is nothing to install, no IT ticket, and no server to maintain.

Can I bring in records I already have?

Weld map data imports from CSV or Excel. Drawings, certificates, and reports upload as PDFs or photos, and AI pre-fill can read a scanned certificate and fill the form for you to check.

Do I have to use every tab?

No. Hot Pass covers pipeline, structural, civil, electrical, and instrumentation scopes. Use the tabs your job needs and ignore the rest — empty sections are simply left out of the job book.

Your data
Who can see my documents?

Only you and the people you invite. Access is enforced by the database itself, not by hiding buttons — a user with no relationship to a project cannot read or write to it even through the API.

Can I get my records out?

Yes, at any time and without asking us. Every table exports to CSV, and Save Snapshot downloads every record in a project as a single timestamped file you own outright, independent of the app or your account.

Worth taking one at project milestones regardless.

What happens to my data if I stop paying?

Your records remain available for a retention period after cancellation so you can export anything you need, and Save Snapshot works right up to the end. Take a snapshot before you cancel and you keep a complete copy whatever happens.

Is my data used to train AI?

No. AI is only involved when you explicitly choose Read from document, and then only to fill that one form. Your records are not used to train anything.

Compliance
Does Hot Pass make my project compliant?

No, and be wary of anything that claims otherwise. Hot Pass organises, tracks, and compiles your records so nothing goes missing and gaps surface early. Whether the work meets code is determined by your procedures, your inspectors, and the governing specification — not by software.

Does the AI check my documents?

It reads them and fills in the form; it does not verify or approve anything. You confirm every value before it saves. We deliberately do not have software assert that a certificate is valid — that judgement belongs to a qualified person, and a QA/QC record is a legal document.

Does compiling a SWPPP make my site compliant?

No. Hot Pass assembles the plan you write and keeps the inspection record behind it; it does not certify the plan or the site. A SWPPP has to be prepared by someone qualified to prepare one, and whether it satisfies your permit is a question for your permit and your regulator.

What the software does do is make the gaps visible — a missed inspection or an uninstalled control is a lot easier to find here than in a binder.

Can an auditor or client see the project?

Yes. Invite them as an auditor and they can read and export everything but change nothing — enforced in the database. Auditor seats are free, however many you invite.

In the field
Does it work on a phone?

Yes. Photo upload reads GPS coordinates straight from the photo, so weld locations plot on the map without typing coordinates.

What if there is no signal?

Hot Pass needs a connection to save records. On a site with no coverage, take photos as normal — their GPS data is stored in the photo itself — and upload when you are back in range.

Billing
What counts as a user?

Anyone who has accepted an invitation to your company account. Pending invitations are never charged, and read-only auditor seats are always free.

Is the Environmental section included in my seat price?

No — it is an add-on at $149 per month per account. That is one charge for the whole company, not per seat: a crew of twelve pays the same $149 as a one-person shop. It appears on your existing invoice alongside your seats and is prorated from the day you add it.

It is the only part of Hot Pass that is not in the seat price. Everything else is included on every plan.

What happens to my environmental records if I drop the add-on?

Nothing is deleted. The Environmental tabs are hidden and the charge stops at your next invoice; every SWPPP section, inspection, and BMP record stays exactly where it was and reappears in full if you add the add-on back.

Seasonal work is the normal case here — there is no penalty for turning it off over the winter.

Can I try Environmental on the free trial?

Not yet. The add-on is billed alongside your seats, so it needs an active subscription before it can be attached — the button is not offered during the trial. Start a subscription first, then add it from Billing.

What if someone leaves mid-month?

Remove them and the seat is credited back, prorated. Adding someone mid-month is charged the same way.

Can I cancel any time?

Yes, from Billing in the app. Cancellation takes effect at the end of the period you have already paid for — you keep full access until then and are not charged again.

Do you store my card details?

Never. Payment pages are hosted by Stripe; nothing sensitive touches Hot Pass.

Can we be invoiced instead of paying by card?

Yes, above 15 seats. Net 30, a PO number on the invoice, annual up front — whatever your accounts payable process needs. Volume pricing and agreed retention terms come with it. Enterprise terms are here.

Can we offer Hot Pass to our own customers?

That conversation is open and the terms are not written yet — resale, referral, or a single contract covering several companies have all been raised, and the first few will be negotiated one at a time.

What does not exist today: a partner portal for administering your customers' accounts, white-labelling, or a single account spanning Hot Pass and its sibling products. The full picture, including what is missing, is on the partners page.

Twelve years running infrastructure, industrial, energy and mining projects through their full life cycle — pre-construction and procurement through QA/QC, execution and turnover — leading crews of fifty or more inspectors and field staff. Senior welding inspection across all phases, with project engineering and construction management on facility, pipeline, hospital and mine builds.

These days he audits contractor documentation on oil and gas facilities and pipeline projects in the Delaware Basin, checking material approvals, specifications and quality records against DOT and Texas Railroad Commission requirements, and closing the gaps that surface right before final acceptance.

Hot Pass exists because those gaps kept turning up late, and because he had built one too many job books out of folders, spreadsheets and memory the week they were due.

About Us

Built for the contractor who still has to hand the book over.

The software most contractors are offered is either a spreadsheet with ambitions or an enterprise platform priced for a general contractor. Hot Pass is built for the small and mid-size welding contractor in between — the people who have to produce the same defensible documentation with a fraction of the overhead.

Every feature here exists because it was needed on a job, not because it demoed well. The blank forms are the ones crews already fill in by hand. The job book prints as a binder — cover, spine labels, tabbed dividers, index — because that is how a turnover package is actually handed over.

What it will not do is decide anything for you. It reads a document; it does not approve one. It records a classification; it does not pick one. Whether a certificate is acceptable, or a non-conformance is major, stays your call and stays on your record.
